Terms & Conditions I understand that by completing the checkout process, I have read and agree to accept the Terms and Conditions associated with this AutoSens Product, and I am authorising a charge for the selected Products.
Payment You agree to pay us the associated Product fee. Product fees are quoted in £/$/€, excluding VAT, however, VAT is payable on certain Products and this will be made clear at check-out.
The conference fee includes entry to the Event sessions and full documentation. For physical Events, lunch and refreshments are also included. Conference fees do not include delegate travel and accommodation.
There will be no retrospective discount if a discount code is not provided at the time of booking.
Payment Terms All fees associated with access to Events, Training or Subscriptions are due in full at the time of booking unless otherwise agreed in writing.
If, for any reason, full payment has not been received in advance, you will be required settle your account before being granted access to the Product or Service.
For the avoidance of doubt, you shall not be permitted entry to the Event, Training platform or Subscription Service unless full payment has been received by us.
For online Products/Services, we will provide you with access to online materials after we have confirmed your order by email and you have paid the associated fees.
For recurring subscriptions your registered payment method will be charged the renewal amount one calendar year after your initial subscription (or alternative period as specified in the product description) unless cancellation is received in writing, or you cancel your subscription in your AutoSens online account.
Refunds requested for OEM / Tier 1 tickets will be applied to the same card used to register, and within one week of the event. Attendees must check in onsite in order to qualify for a refund. Please retain your conference badge as proof of your check in. You will receive an email with details on how to claim your refund. Please note refunds are not automatically processed, you must request your refund via the process outlined in the email. If you do not check in onsite, we will retain your fee.
Delegate Cancellations Fees for online access to all AutoSens Products and Services are non-refundable, however you may transfer your ticket to a future Event up on request, and at the full discretion of Sense Media Group Ltd.
For physical Events:
Cancelling 10 working days or more prior to the Event – A cancellation request must be made in writing to Sense Media Group Ltd.. A 20% handling fee applies to all cancellations.
Cancelling less than 10 working days prior to the Event – No refunds can be made for any delegate cancelling for any reason after this time. The only exception to this policy would be in the case of COVID contracted in the days prior to the event and preventing travel. Proof of a positive COVID diagnosis (official test result / doctor’s letter or similar) must be provided, in which case a full refund minus 20% handling fee may be processed within 10 working days of the event.
Delegate Substitutions Delegates can provide a substitute at any time online or by contacting Sense Media Group Ltd. No cancellation fees apply if a delegate place is substituted. This is only applicable to AutoSens Events; subscriptions to AutoSens+, AutoSens Research and AutoSens Academy are strictly non-transferable.
Permitted Online Access Upon sign up for our online Products and Services, a personal profile and a non-transferable account will be created. This is intended for individual access by the account owner only. If unpermitted usage is detected, including multiple users accessing one account, Sense Media Group reserves the right to terminate accounts showing this type of activity.
Although we use reasonable endeavours to ensure that the online AutoSens Products are available 24 hours a day 7 days a week, we cannot promise that access to AutoSens+, Academy and Research pages will be uninterrupted or error free. There may be occasions when access to the AutoSens Products is interrupted. You accept that you will not have a claim for breach of contract or otherwise in respect of such period of unavailability. You also acknowledge that we cannot be held responsible for any delay or disruptions that are inherent in the operation of the Internet and the World Wide Web, including viruses.
You are granted a limited license solely for your own personal, non-commercial use to refer to, bookmark or point to any page within this website, and to download the Materials contained on this website to a single personal computer, and to print a single hard copy of the Materials contained on this website for your own personal reference, provided however that all copyright, trade mark and other proprietary notices are left intact. The grant of this limited license is conditional on your agreement to, and compliance with, all of these terms and conditions of use.
Any other use of the Materials on this website, including any form of copying or reproduction (for any purposes other than those noted above) modification, distribution, re-publication, extraction, reutilisation, incorporation or integration with other materials or works or re-delivery using framing technology, without the prior written permission of Sense Media Group Ltd., is strictly prohibited and is in violation of the proprietary rights of Sense Media Group Ltd.
Parties found to have breached these Terms may face subsequent legal action.
Third Party Links The AutoSens platforms may provide links to third-party websites from time to time. We are not responsible in any way for the content of any third-party website or for goods or Services provided by the operators of such websites.
Data Security Credit card details and personal information is stored using a secure internet link using SSL (Secure Socket Layer) encryption; any personal information entered or uploaded during the registration process will remain confidential.
Trade Marks We grant to you a non-transferable, non-exclusive, royalty-free licence to use the Event logos and trade marks (the “Event Marks”) provided to you solely to promote your participation at the Event.
You grant to Sense Media Group Ltd.: a worldwide, non-exclusive, royalty-free, sub-licensable licence to use your logos and trade marks (the “Participant Marks”) to promote and exploit the Event; and for a period of 12 months following the Event in any report produced about the Event and in any promotional materials for similar events.
In the event that you change the Participant Marks at any time during the term, you agree that we shall not be obliged to make any consequential changes to materials that include the Participant Marks produced by us or on our behalf for or in connection with the Event (including, but not limited to, reprinting promotional literature or publicity materials) unless you agree in writing in advance to meet the costs and expenses incurred by us arising from such change.
Obligations Online Products and Services – Our Rights to Stop Providing the Services to You
If you have purchased an online Product, we will make this Product and related materials available to you via AutoSens website following the issue of your confirmation email for the specified subscription period only. After the subscription period ends, we will suspend your access to the specific Product/Service. If you wish to access these materials after your access has been terminated, you will need to submit a new order to us. In certain circumstances we may extend the time period in which you may access the related materials, requests must be made in writing and we offer no guarantee that permission will be granted.
Sense Media Group Ltd. reserves the right to cancel, defer or otherwise modify any event proceedings without prior notice.
If for any reason, we are unable to deliver any of the benefits or features as previously advertised, we will inform you as soon as reasonably practicable. We may substitute alternative benefits in respect of the same Event to an equivalent value of the relevant benefits without any liability to you.
You acknowledge and agree that you shall be solely responsible for all costs that you incur relating to your attendance at the Event (including, without limitation, any travel costs, the costs of any temporary staff and any costs relating to the exhibition signage, displays and all costs incurred by you in exercising the Event benefits and features).
You shall promptly comply with all reasonable instructions and directions issued by or on behalf of us in connection with the Event and its promotion (including, without limitation, any instructions or directions given in relation to the use of the venue at which the Event is being held). We shall not be responsible for any failure or delay in providing any of the benefits where such failure occurs directly or indirectly as a result of your failure or delay in complying with any of our reasonable instructions or directions.
Intellectual Property All Intellectual Property Rights in the AutoSens Academy course Materials, AutoSens Research, content presented at at AutoSens Events and within AutoSens+, are, and remain, the intellectual property of Sense Media Group Ltd.
You are not authorised to:-
(i) copy, modify, reproduce, re-publish, sub-licence, sell, upload, broadcast, post, transmit or distribute any of the above-mentioned AutoSens content without prior written permission;
(ii) record on video or audio tape, relay by videophone or other means any Academy/AutoSens+/AutoSens conference videos;
(iii) remove any copyright or other notice of AutoSens on any content that is accessible with your online account;
(iv) modify, adapt, merge, translate, disassemble, decompile, reverse engineer (save to the extent permitted by law) any software forming part of the AutoSens platform.
Breach by you of this clause shall allow us to immediately terminate these terms and conditions with you and cease to provide you with any Services, including but not limited to access to your online AutoSens account.
Confidentiality Each party shall keep the other party’s Confidential Information strictly confidential and not use it otherwise than for the purposes of these terms and conditions, and shall return it on demand and not retain copies of it.
Anti-Bribery You warrant that you shall: comply with all applicable laws, statutes and regulations relating to anti-bribery and anti-corruption including but not limited to the UK Bribery Act 2010; comply with such of our anti-bribery and anti-corruption policies as are notified to you from time to time; and promptly report to us any request or demand for any undue financial or other advantage of any kind received by or on behalf of you in connection with the performance of this Agreement. Breach of this clause shall be deemed a material breach of this Agreement.
Cancellations and Force Majeure In the event of failure or delay in performing its obligations under this Agreement as a result of an event or series of connected events outside the reasonable control of Sense Media Group Ltd. (including, without limitation, acts of God, floods, lightning, storm, fire, explosion, war, military operations, acts or threats of terrorism, strike action, lock-outs or other industrial action or a pandemic, epidemic or other widespread illness) no refunds will be given in respect of any cancellations.
Liability Sense Media Group Ltd. does not accept liability for any loss of or damage to the personal effects of delegates attending our Events.
Whilst we try to ensure that our website does not contain any errors, defects, malfunctions or corruptions, we do not accept responsibility for any damage to or loss of data on your computer system, network or server that results from the download or use of the AutoSens Website or any materials made available via the AutoSens website and affiliated links.
You shall comply with all relevant laws and regulations which may apply in relation to your involvement in the Event and you will indemnify and keep indemnified and defend (at your own expense) us against all costs, claims, damages or expenses suffered or incurred by us or for which we may become liable due to any failure by you or your employees or agents to comply with any of your obligations under this Agreement or any applicable laws and regulations.
Sense Media Group Ltd. will take all reasonable steps to ensure the safety of all attendees and staff onsite at the event, including taking appropriate measures to protect against COVID-19 transmission. However, the safe running of our Events relies on individual attendees also acting responsibly. By attending our Event, you agree to abide by all guidance issued by the organisers, and also accept that the organisers may not be held liable in any way for any health-related issues arising either directly or indirectly following your attendance at this Event. All attendees participate in this Event at their own risk and should ensure they have read in full all guidance and documentation.
For the avoidance of doubt, it shall be your responsibility to take out and maintain appropriate insurance in relation to any risks under or in relation to these Terms and Conditions or your participation in the Event.
Our aggregate liability to you, whether such liability arises in contract, tort (including negligence) or otherwise, for any damages, loss, costs, claims or expenses of any kind howsoever arising, out of or in connection with this Agreement or otherwise in connection with the Event, shall be limited to the Sponsorship/Delegate Fee/Subscription paid by you.
We shall not be liable to you for: (i) any loss of profit, loss of or damage to data, loss of anticipated savings or interest, loss of or damage to reputation or goodwill; or (ii) any indirect, special or consequential damages, loss, costs, claims or expenses of any kind.
This Agreement and the rights and obligations of both parties shall be governed by, and construed in accordance with, the laws of England and Wales, the parties irrevocably agree to submit to the exclusive jurisdiction of the courts of England and Wales.
Additional Terms and Conditions for Physical Events Only
Live Vehicle Demo Sessions Sense Media’s Events may feature live demonstration features that include an inherent risk, however small or well-mitigated. Participation in these features is voluntary, however, by registering for the conference you acknowledge that you agree to the following Waiver: https://www.sensemedia-events.com/waiver-of-liability/.
Visas All attendees requiring visas may request a visa invitation letter from Sense Media Group Ltd. at the time of booking; you must ensure that sufficient time is given for applications to be completed. Sense Media Group Ltd. cannot be held liable for any costs associated with visa applications or subsequent costs incurred by you due to unsuccessful visa applications.
Badge Scanning Exhibitors at Sense Media Group Ltd. Events have the capability to scan attendee badges (with the attendees permission) – if you give permission for your badge to be scanned, you consent to your data being used and stored by the sponsor or exhibitor in line with their data protection policy.
Photos & Videos Sense Media Group Ltd. Events have official on-site photographers and videographers capturing the event. By purchasing a ticket and attending the Event you consent you your photograph being taken and used in future Marketing materials. If you wish to opt-out from your face/person being seen in any photos or videos please email email@example.com
Here at Sense Media we take your privacy seriously and will only use your personal data to provide you with information about our conferences, for administration of the conferences and pass on to our partners where you have given us permission to do so.
Your Personal Data – what we need.
Sense Media is what’s known as the ‘Controller’ of the personal data you provide to us. We only collect basic personal data about you which does not include any special types of information or active location-based information. This does however include name, address, email address, company name, job title, country and telephone number where you have provided it.
We collect this information when you register with us in person or online to receive news and updates about our conferences or when you attend or sponsor one of our conferences.
We do not source any personal data from third party vendors.
Why we need it.
We need to know your basic personal data in order to provide you with email updates and marketing communications about our conferences. We also use your basic personal details to administer attendance at our conferences. We will not collect any personal data from you that we do not need in order to provide and oversee these services to you.
What we do with it.
The legal basis we rely on to process your personal data is that of Legitimate Interest. This is because:
You have either signed up to receive information relating to Sense Media conferences or have attended and/or sponsored previous conferences.
As a result, it is reasonable to expect to receive information about Sense Media conferences.
You may also receive communications from our event partners where you have opted in to receive this information while registering for our events.
It is very simple for you to opt-out of processing and communications.
All the personal data we process is processed by our staff in the UK. Appropriate safeguards are in place to protect the security of your data. We only use external IT services to support this processing which are either located within the European Union or have suitable security measures in place such as compliance with the EU-U.S. Privacy Shield Framework.
No third parties have access to your personal data unless the law allows them to do so.
How long we keep it.
If you have paid for services such as delegate registration or sponsorship we are required under UK tax law to keep your basic personal data (name, address, contact details) for a minimum of 6 years after which time it will be destroyed. Your information that we use for marketing purposes may be kept by us until you notify us that you no longer wish to receive this information by selecting the “unsubscribe” option on any of our mailings.
What are your rights?
If at any point you believe the information we process on you is incorrect you may request it to be rectified. Your rights include:
the right of access – you can request details of your personal data that we hold;
the right to rectification – you can request that we correct inaccuracies in the data;
the right to erasure – you can request that we delete your personal data from our systems;
the right to object – you can unsubscribe from processing and mailings;

As part of any recruitment process, the company collects and processes personal data relating to job applicants. The company is committed to being transparent about how it collects and uses that data and to meeting its data protection obligations.
What information does the company collect?
The company collects a range of information about you. This includes:
your name, address and contact details, including email address and telephone number;
details of your qualifications, skills, experience and employment history;
information about your current level of remuneration, including benefit entitlements;

Who has access to data?
Your information will be shared internally for the purposes of the recruitment exercise. This includes interviewers involved in the recruitment process, managers in the business area with a vacancy and IT staff if access to the data is necessary for the performance of their roles.
The company will not share your data with third parties, unless your application for employment is successful and it makes you an offer of employment. The company will then share your data with former employers to obtain references for you.
Your data may be transferred to countries outside the EEA due to our servers being back up (US based) and when booking flights and accommodation for staff . Data is transferred outside the EEA on the basis of declaration of adequacy and Other Safeguards. As a business we only use reputable companies and ensure team members follow internal rules for data transfers for example password protected files containing sensitive data.
How does the company protect data?
The Company takes the security of your data seriously. The Company has internal policies and controls in place to place to try to ensure that your data is not lost, accidentally destroyed, misused or disclosed, and is not accessed except by its employees in the performance of their duties. Staff databases are only accessible to the business owners and all data is password protected. We use trusted suppliers to keep our files safe, such as Sharepoint who also have in-built cyber security policies. Hardcopies of HR files are kept in a locked and secure filing cabinet in the office – only the business owners have the keys. The keys are kept on their person at all times.
For how long does the company keep data?
If your application for employment is unsuccessful, the company will hold your data on file for 7 months after the end of the relevant recruitment process. If you agree to allow the company to keep your personal data on file, the company will hold your data on file for a further 6 months for consideration for future employment opportunities. At the end of that period [or once you withdraw your consent], your data is deleted or destroyed.
If your application for employment is successful, personal data gathered during the recruitment process will be transferred to your personnel file and retained during your employment. The periods for which your data will be held will be provided to you in a new privacy notice.
As a data subject, you have a number of rights. You can:
access and obtain a copy of your data on request;
require the company to change incorrect or incomplete data;
require the company to delete or stop processing your data, for example where the data is no longer necessary for the purposes of processing;
object to the processing of your data where the company is relying on its legitimate interests as the legal ground for processing; and
ask the company to stop processing data for a period if data is inaccurate or there is a dispute about whether or not your interests override the company’s legitimate grounds for processing data.
If you believe that the company has not complied with your data protection rights, you can complain to the Information Commissioner.
What if you do not provide personal data?
You are under no statutory or contractual obligation to provide data to the company during the recruitment process. However, if you do not provide the information, the company may not be able to process your application properly or at all.
You are under no obligation to provide information for equal opportunities monitoring purposes and there are no consequences for your application if you choose not to provide such information.
Recruitment processes are not based solely on automated decision-making.
